Records this office keeps, and for how long
Two separate questions get asked together and answered badly. What does the website hold, and what does the office hold? The answers are nothing and a filing cabinet, so they are set out here separately, in the terms that actually apply to each.
Site What these pages hold
Nothing is stored by this website
There is no cookie set by these pages, and therefore no table of cookies below, because a table describing cookies that do not exist is worse than no table. There is no analytics script, no tag manager, no pixel, no advertising identifier, no embedded video, no social widget and no map frame. Nothing counts visits and nothing profiles a visitor.
There is no form on this site that sends anything anywhere. The two calculators on the front page run inside the page in the visitor's own browser: the figures typed into them are never transmitted, are not written to the browser's storage, and are gone when the page is reloaded or closed. Reload it and the example figures come back, because the example figures are part of the page.
The one outbound request
A single stylesheet of two typefaces is fetched from Google's font service when a page loads. That service sees the request a browser makes for a file. It is the only third party these pages reach, and it is named here rather than buried.
The email link
The address in the footer is a plain mail link. Selecting it opens the visitor's own mail program and composes a message there; nothing is sent, and nothing is seen here, until the visitor sends it themselves.
Office Held at Clarendon Road
What the office holds, and the period it is kept
Records begin on 31st August 2026, the date of incorporation. There is nothing filed before that date, because the company did not exist to file it.
- Inspection sheets and their photographs
- One dated sheet per vehicle with the photographs taken at the inspection. Kept with the purchase and sale documents for that vehicle, which means kept for the period a company's accounting records have to be kept — six years from the end of the accounting period they fall into.
- Purchase and sale documents
- Invoices in and out, and the correspondence that evidences the transaction. The same six-year period.
- Registration documents
- A V5C is held only while it is in hand. It is sent on for the change of keeper or handed over with the vehicle; no copy is kept beyond the identification number already written on the sheet.
- Goods-in notes and consignment notes
- Filed by goods-in number with the supplier's delivery note and the condition entry, and kept with the transaction records for the same period.
- Statutory registers and filings
- Kept as a company is required to keep them, at the registered office, and available to be inspected as the law provides.
When a period ends, the paper is destroyed and the files are not kept back for interest. A sheet that is still needed for a live matter is held until the matter closes and then falls under the same period, dated from the close.
Mail Correspondence
Email you send to this office
A message to the corporate address is held while the matter it concerns is live. If it evidences a transaction — a viewing that became a sale, a consignment that was received, a finding queried in writing — it is filed with that transaction and kept for the same period as the transaction. If it evidences nothing, it is deleted when the matter closes.
If you have written to this office and want your correspondence deleted, write to the same address and say so, quoting the identification number or goods-in number it concerns. Where the message is not part of a record the company has to keep, it is deleted and you are told so in reply. Where it is, you are told which record it belongs to and when the period for that record ends.
What is never asked for
No bank details, card numbers or copies of identity documents are requested by email, and none should be sent by email. Identification is shown in person at a viewing and is looked at, not copied.
